The Challenge

Preferred Solutions Eastern Cape entered 2026 at a strategic inflection point. The 2021 merger of HH Accounting Services into Preferred Solutions had grown the national footprint past 8,000 clients, and a formal leadership transition from founder Helen Mclean to Managing Director Shane Mclean was imminent. The purpose-built Walmer headquarters was the physical expression of that transition.

Three distinct narratives had to land in a single evening: a 36-year legacy dating to the 1990 founding of HH Accounting Services, a succession story as personal as it was institutional, and a market-facing repositioning as a premium, solutions-led accounting partner rather than a traditional practice. Any imbalance would reduce the event to an office warming and forfeit the reputational capital available.

The client also required verified regional press coverage to extend commercial reach beyond the 150-guest room, which meant media coordination had to be built into the event architecture from the brief stage, not bolted on afterward. Budget discipline was non-negotiable: all vendor procurement, decor, catering, brand partnerships and security had to land within a defined ceiling without visible compromise to premium positioning.

The Solution

Every element of the evening was held to a single strategic brief: signal continuity for existing clients and commercial ambition for prospects at the same time. The run of show moved guests through a deliberate arc, from arrival at the step-and-repeat media wall, through the formal presentation inside the Bedouin tent, to open networking on the harvest-table floor and a controlled gifted departure.

Direct vendor negotiation secured preferential rates across catering, AV, decor and security, with confirmed in-kind and discounted brand partnerships from Chateau Del Rei, Fitch & Leedes, The Taste Bud Co., Studio B. Productions and Future Force Solutions Security, each carrying defined brand obligations that were briefed, tracked and fulfilled. A purpose-built photographer brief covered pre-shoot planning, key people and brand coverage, quality-control parameters and a post-event delivery checklist specifying platform-correct crop ratios for Instagram portrait, Reels and Stories, Facebook and 300dpi print, producing a library of usable assets for website, social channels and press submissions.
